Your responsibilities:

  • Coordinate departmental calendars and organize meetings, including preparing agendas and taking meeting minutes
  • Create reports, summaries and presentations for business topics
  • Handle office supplies and related resources (stationery, equipment, software, licenses)
  • Organize workshops, events and team-building activities
  • Coordinate logistics such as rooms, catering and materials
  • Manage visitor-related activities, including registration and gifts
  • Arrange business travel, including bookings and coordination of travel needs
  • Assist in preparing documents and maintain proper circulation of correspondence
  • Optionally: Manage shared email inboxes, including sorting messages by priority and ensuring timely responses.

Our requirements:

  • Higher education (preferred in Administration, Business or related fields)
  • 3-5 years of experience in a similar position (Office Support / Executive Assistant)
  • Proficiency in MS Office (Word, Excel, PowerPoint) and collaboration tools such as MS Teams
  • Excellent organizational and time management skills
  • Strong interpersonal and communication skills
  • Advanced English and German language skills
  • Ability to work independently and remain calm under pressure
  • Strong sense of responsibility and trustworthiness
  • Readiness to travel occasionally (including a 4–6 week onboarding period in Germany)
