This role combines calendar mastery, event coordination, and operational support to ensure seamless communication and flawless execution across meetings, projects, and internal activities. If you thrive in dynamic environments, love keeping everything on track, and enjoy connecting people and processes, this is the role for you.What you will be doing:Internal Team Calendar ManagementCoordinate and maintain team calendars, schedule meetings and internal events, and proactively resolve scheduling conflicts.Logistics & Internal Event SupportOrganise internal events, training sessions, workshops, and team activities.Coordinate logistics, including room bookings, materials, attendee lists, catering, and setup.Communication & Content CoordinationPrepare and update departmental presentations.Collect, curate, and structure content for departmental communications.Support and facilitate department meetings, including agenda preparation, content gathering, and follow-up actions.Ensure consistency and clarity in internal messaging.Create and distribute surveys, collect feedback, and support continuous improvement initiatives.Travel Booking & ManagementArrange travel itineraries, accommodation, and transport for the team.Manage travel approvals and expense documentation.Ensure compliance with travel policies and cost-effective planning.Internal Social Media (Intranet, Viva Engage & MS Teams) ManagementDraft, schedule, and publish posts aligned with departmental objectives.Coordinate content contributions from team members.Monitor engagement and maintain an active and relevant departmental presence.Back Office & General AdministrationMaintain documentation, filing systems, contact lists, and shared resources.Support procurement, invoice processing, and vendor coordination.Provide operational support to ensure smooth daily functioning.Other Administrative TasksCarry out additional administrative duties as required.Assist with ad-hoc requests from the manager and team.What you need to succeed:Experience5+ years’ experience in admin, assistant, back-office, or project roles, with event planning and close collaboration with senior management.Project Management experience is useful but not mandatory.LanguagesFluent in English, spoken and written.Technical SkillsProficiency with office tools (e.g., MS Office, Teams, SharePoint, calendar systems).Familiarity with internal communication tools (e.g., Microsoft Teams, Viva Engage) is an advantage.Strong organisational, planning, and multitasking abilities.Experience in content creation and meeting facilitation.Soft SkillsGood written and verbal communication skills.Ability to manage sensitive information with discretion.Attention to detail.Collaboration and support mindset.
